HOW TO BOOK ONLINE

A link to our online booking system is available on this page. 

Follow these steps to register: 

1. Create a new account or sign-in to existing one. 

2. Add information to your account.

3. Select the Facility tab. 

4. Select the facility you wish to rent. 

5. Follow the on screen steps to complete the booking. 

BOOKING REQUIREMENTS

Prior to rental, the following must be completed:

  • Rental Agreement signed
  • Security Deposit paid
  • Rental Fee paid in full
  • Meeting with Facility Manager to finalize event details and arrange access for setup (10 days prior)
  • Approval and documentation for alcohol service (if applicable)

GENERAL FACILITY POLICIES

Security

Security staff may be required at the discretion of City Center staff, depending on the nature or size of your event. Fees for security services, if required, will be billed to the renter.

 Smoke-free and Vape-free Facility

The City Center is a smoke-free and vape-free facility. Smoking, vaping, or the use of any tobacco or electronic nicotine delivery products is strictly prohibited inside the building and within 25 feet of all entrances, exits, and operable windows.

 Violation of this policy may result in:

  • Immediate removal from the premises
  • Forfeiture of security deposit
  • Additional cleaning or damage fees

PERMITTED AND PROHIBITED ITEMS

Not Permitted:

  • Confetti, glitter, rice, or similar materials
  • Tape, tacks, nails, or adhesives on any walls or surfaces
  • Open flames (including candles, unless approved)
  • Smoking or vaping inside the facility

Permitted:

  • Freestanding signage
  • Decor items that do not damage property
  • LED flameless candles

FACILITIES AND LOADING

  • Vendor deliveries and event load-in/load-out,  please coordinate access with the Facility Manager in advance.
  • The City Center does not provide or rent audio/visual or other event equipment. Renters are responsible for sourcing their own.

SETUP AND CLEANUP RESPONSIBILITIES

Setup Provided by City Center:

  • Facility cleaned prior to rental
  • Bathrooms stocked with paper products and soap
  • All public spaces free of clutter
  • Power turned on and lighting operational
  • HVAC set to a comfortable temperature
  • Access to rented spaces and agreed-upon amenities

Setup Not Provided by City Center:

  • Tables, chairs, linens, or decor
  • Audio/visual or sound equipment
  • Event coordination or vendor assistance
  • Table/chair arrangement or room layout (unless setup fee is paid)

Cleanup Provided by City Center:

  • Mopping of floors
  • Cleaning and sanitizing of bathrooms
  • Emptying of trash from facility trash cans into dumpster

Cleanup Required by Renter:

  • All personal items, decorations, and rented equipment removed
  • Trash collected, bagged, and placed in dumpster night of event
  • Ballroom floors must be inspected after the event, and any spills or debris must be cleaned immediately to prevent damage.
  • Rental equipment pickup must be arranged with the Facility Manager no later than 10 days prior to the event. Next-day pickup cannot be guaranteed due to other scheduled events.
  • Any damage reported immediately to City Center staff

INSURANCE AND LIABILITY

  • Renter assumes full responsibility for all damages to the facility or equipment during their rental period.
  • Renter is liable for any personal injuries or property damage incurred by their guests or vendors.
  • Proof of event insurance may be required for certain events.
     

DAMAGE AND DEPOSITS

  • A refundable security deposit is required at the time of booking. This deposit will be returned (within 14 business days), minus any charges for damage, excessive cleaning, or overages in rental time.
  • Renters will be charged for any repairs or cleaning beyond normal wear and tear. 

ALCOHOL POLICY

Alcohol may be served only under the following conditions:

  • A licensed bar service or caterer with a valid Michigan liquor license must be contracted.
  • Private renters must obtain a one-day liquor license through the Michigan Liquor Control Commission (MLCC), subject to approval.
  • A copy of the license must be submitted to the City Center no later than 14 days prior to the event.
  • Alcohol may not be sold unless the appropriate license has been granted.
  • All alcohol service must end by 11:00 PM, or earlier if stipulated in the rental agreement.

TABLES, CHAIRS AND EQUIPMENT

  • The City Center does not provide tables, chairs, linens, or other event furnishings.
  • Renters may bring in their own, or contract with an outside rental company.
  • All equipment must be removed by the end of the rental period unless otherwise approved in writing.

CANCELLATION AND REFUND POLICY

Cancellation by Renter:

  • More than 30 days before event: Full refund of rental fee and deposit
  • 15–30 days before event: 50% refund of rental fee; full deposit refunded
  • Less than 14 days before event: No refund of rental fee; deposit refunded
  • No refunds for weather-related cancellations unless the City closes the facility

Cancellation by City Center:

  • In rare circumstances (e.g., public emergency, facility damage), the City Center reserves the right to cancel a reservation. In such cases, a full refund will be issued, and staff will work with the renter to reschedule the event if possible.

ON-SITE STAFF ROLE

A City Center Representative will be on-site for the duration of your rental. Their responsibilities include:

  • Opening and closing the building
  • Monitoring compliance with facility policies
  • Providing access to approved spaces
  • Assisting with facility-related concerns (HVAC, restrooms, lighting, etc.)
  • Contacting emergency services or security if needed

Note: The City Center Representative is not available for event coordination, setup, or guest support.

FIRE CODE, EXITS AND EMERGENCY POLICIES

  • Maximum occupancy of the Ballroom is 180 persons, in accordance with the local Fire Marshal.
  • All exits must remain clear and unobstructed at all times.
  • Exit signs and emergency lighting must not be covered or tampered with.
  • Open flames and pyrotechnics are prohibited unless approved in advance by the Fire Marshal.
  • The renter is responsible for ensuring that event decor and materials meet local fire safety regulations (e.g., flame-retardant materials for draping or backdrops).
  • The City reserves the right to end any event that violates fire code or safety policies.
